Operations Manager Expectations - The primary role of the administrative assistant is answering new prospective customer and existing customer phone calls.
The administrative assistant is also the first person to initiate the Olneya process with new prospective clients and also performs general customer services phone calls.
The administrative assistant enters all new leads into the customer database, assigns the appropriate Project Manager, and schedules the initial appointment.
The administrative assistant also assists with tracking and managing lead sourcing services.
The Administrative assistant also performs other office management duties such as, receiving and transferring other incoming phones calls, sorting incoming mail, prepping outgoing mail, and doing monthly inventory of office supplies and marketing materials.
Activity Required ? Take all incoming phone calls and direct to the appropriate department ? Schedule initial sales rep appointments ? Delegate leads to sales reps based on criteria set forth by management ? Compile and maintain weekly lead report ? Manage online portal for lead sourcing services ? Prepare final project paperwork for homeowners ? Mail out customer service surveys and thank you cards to homeowners ? Receive all incoming mail correspondence and distribute to the proper departments ? Check all general voicemail box and forward messages to the proper staff member ? Greet all guests that come into the office ? Act as the gate keeper to management ? Send correspondence out for management via mail, fax or email ? Scan and upload documents ? Manage office supply inventory ? Order satellite measurement reports.
? Prepare Initial appointment packets.
? Light office housekeeping - vacuuming, trash, tables, counters and whiteboards ? Make coffee Results Required ? All appropriate lead information is gathered ? Appointments are set correctly ? Appointments are set while homeowners are still on the phone Reporting Required 1.
